1. Introduction
This Privacy Policy explains how Quartz Events ("Quartz Events", "we", "us", or "our"), the organiser of the Dermatology Master Conference ("DMC"), collects, uses, shares, and protects your personal data when you use the DMC website, the DMC mobile application, and any related registration, on-site, and event services (together, the "Platform").
By creating an account, registering for the conference, or otherwise using the Platform, you acknowledge that you have read and understood this Privacy Policy. Where required by law, we will ask for your consent separately.
We are committed to handling your personal data in accordance with the Egyptian Personal Data Protection Law No. 151 of 2020 and its Executive Regulations, and, where applicable, other data protection standards.
2. Who is responsible for your data (Data Controller)

3. The information we collect
We collect the following categories of personal data:
- Account and identity data — your name, email address, mobile number, password (stored encrypted), profile photo, and account preferences.
- Professional data — your specialty, title, workplace/affiliation, and other professional details you choose to provide as a medical or healthcare professional.
- Registration data — the wave(s), sessions, and workshops you register for, your registration package/tier, attendee status, entry pass/QR code, and check-in records.
- Payment data — where paid services are offered, transactions are processed by a third-party payment provider; we receive confirmation of payment and limited transaction details, and do not store your full card details.
- Engagement and rewards data — points, badges, tiers, quiz and poll participation, booth scans, gift claims, and prize-draw ("Wheel of Names") entries.
- Communications data — messages you send through in-app chat, support requests, and your notification and marketing preferences.
- Technical and usage data — device information, app version, IP address, log data, and how you interact with the Platform, collected in part through cookies and similar technologies (see Section 9).
4. How we use your information
We use your personal data to:
- create and manage your account and verify your identity;
- process your registration, issue your entry pass, and manage check-in and access;
- operate conference features — the program, live sessions, quizzes and polls, networking and chat, media, and the rewards, gifts, and prize-draw features;
- process payments for paid services and send related confirmations;
- respond to your enquiries and provide customer and technical support;
- send you service messages (e.g. registration confirmations, schedule changes, security notices);
- send you marketing communications about DMC and Quartz Events events, offers, and updates where you have not opted out or where you have consented, as described in Section 6;
- understand and improve the Platform through analytics; and
- comply with legal obligations and protect the security and integrity of the Platform.
5. Legal bases for processing
We process your personal data on one or more of the following legal bases: your consent; the performance of a contract with you (providing the Platform and your registration); our legitimate interests in operating, securing, and improving the Platform; and compliance with legal obligations. Where we rely on consent, you may withdraw it at any time (see Section 12).
6. Marketing communications
With your agreement, and as permitted by law, we and our group may use your personal data to send you marketing and promotional communications about the Dermatology Master Conference, future seasons and events, sponsors' offers, and related services, by email, SMS, in-app notification, WhatsApp, or other channels you have provided.
You can opt out of marketing at any time — by using the unsubscribe link in an email, adjusting your notification preferences in your account, or contacting us at quartzeventsdev@gmail.com. Opting out of marketing will not affect service messages that are necessary to operate your account and registration.
7. How we share your information
We share personal data only as described below:
- With sponsors, exhibitors, and partners. DMC is a sponsored medical conference. When you choose to interact with a sponsor — for example, by scanning a sponsor's booth QR code and agreeing to share your details — you consent to Quartz Events sharing the relevant personal data (such as your name, professional details, and contact information) with that sponsor so they may follow up with you. You control this at the point of each scan (see Section 8). Certain endorsing bodies and co-partners of the conference may also receive aggregate or, where you have consented, identifiable attendee information.
- With service providers who process data on our behalf (e.g. hosting, database, communications, payment, and analytics providers) under appropriate confidentiality and data-protection terms.
- For legal reasons — where required by law, regulation, legal process, or to protect the rights, safety, and property of Quartz Events, our users, or others.
- In connection with a business transfer — as part of a merger, acquisition, or reorganisation, subject to this Policy.
We do not sell your personal data.
8. Booth scanning and sponsor lead sharing
At the event, you may scan a sponsor's booth QR code from the DMC app. Scanning always lets you earn the associated rewards (points, gifts, and prize-draw entries) regardless of your sharing choice. Sharing your details with a sponsor is a separate, explicit choice you make at the time of each scan ("Share" or "Not now"). If you choose "Share", your relevant contact and professional details are made available to that sponsor as a lead. You can change your mind for a sponsor later through the app where that option is provided. Sponsors are responsible for their own use of any data you choose to share with them.
9. Cookies and similar technologies
The website uses cookies and similar technologies for essential functionality and, subject to your consent via our cookie banner, for analytics and preferences. You can manage non-essential cookies through the banner or your browser settings. Analytics are only activated when you have accepted the relevant cookies.
10. Data retention
We retain your personal data for as long as your account is active and as needed to provide the Platform, and thereafter for as long as necessary to comply with legal, accounting, and reporting obligations, resolve disputes, and enforce our agreements. When data is no longer required, we delete or anonymise it.
11. Data security
We use appropriate technical and organisational measures — including encryption in transit, access controls, and row-level security — to protect your personal data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we work to protect your data and to notify you and the competent authority of any breach as required by law.
12. Your rights
Subject to applicable law, you have the right to: access the personal data we hold about you; request correction of inaccurate data; request erasure of your data; object to or request restriction of certain processing; withdraw consent at any time (without affecting prior lawful processing); and data portability where applicable. 13. International transfers
Your data may be processed on servers located outside Egypt (for example, by our hosting and service providers). Where personal data is transferred across borders, we take steps to ensure it is protected in accordance with applicable law.
14. Children
The Platform is intended for medical and healthcare professionals and other attendees who are 18 years of age or older. It is not directed to children, and we do not knowingly collect personal data from anyone under 18.
15. Changes to this Policy
We may update this Privacy Policy from time to time. We will post the updated version on the Platform and revise the "Last updated" date above. Material changes will be communicated to you where required.
